Account Setup and First Login

This article covers everything you need to do when you first receive access to Takumo Pro — from logging in for the first time to completing your hotel profile ready for live operations.

Logging In for the First Time

Open your web browser and navigate to app.takumo.jp. Enter the email address and temporary password provided by Takumo in your onboarding email. You should navigate to My Profile, select Password & Security to set a new password on first login — choose something secure and store it safely.

ℹ NOTE

If you did not receive an onboarding email, check your spam folder. If it is not there, contact Takumo support via the help widget or at support@takumo.jp.

Setting Your Language and Regional Preferences

After logging in, click your My Profile at the bottom left corner and select Edit My Profile. Under Preferences you can set:

      Interface language — Japanese or English

      Date format — MM/DD/YYYY is set as default

      Time format — 24-hour as default

      Default currency display

These preferences are per-user and do not affect other staff members on the account.

Understanding the Dashboard

The Takumo Pro dashboard is your central control panel. The key areas are:

New Booking button the fastest way to start a booking

Today's Pickups & Deliveries

Shows all bookings with a collection or delivery scheduled for today

Require Attention

Flags incomplete bookings, failed carrier connections, or items needing action

Active Bookings

Full list of all current bookings with status, carrier, and ETA

Search Bar

Search by guest name, room number, booking ID, tracking ID, Destination Address

Inviting Staff and Setting User Roles

Go to User Management in the left sidebar. Click Add New User. Enter the staff member's name, email address, phone number, and assign them a role:

Role

Access Level

Administrator

Full access — account settings, billing, user management, all branches

Staff

Can create and manage bookings within assigned branch only

The new user receives an email invitation to set their password and log in. There is no limit to the number of users you can add.

💡 TIP

Assign the Administrator role sparingly — only to people who need access to billing and account-level settings.
